How to activate your tenant app powered by easysquare

Do you want to follow the latest news on your landlord’s digital bulletin board, submit defect reports online or view contracts and statements? The tenant app powered by easysquare delivers these services – in a contactless and quick manner available around the clock. We’ve put together a step-by-step guide of how to activate yourself in your housing company’s tenant app:

1. Start registration

Before you can register, you’ll need to download your property manager’s app from the Apple App Store (iOS) or Google Play Store (Android) to your smartphone. You can download the app free of charge.

Note: Of course, you can also use the app in your browser with the web app. We recommend using a smartphone for the registration process, since this allows you to easily scan the activation code with the camera.

Then open the app by clicking the app icon. When you open the app for the first time, please select the “Register” button to identify yourself and create a user name and password.

2. Complete identification

Keeping personal data secure is a priority for us. For this reason, some of your landlord’s digital services cannot be used without a prior activation, including the retrieval of personal contract details and documents. You will have to complete the authentication process. In order to access all functions without restriction, your housing company must grant you access to services like this.

In the next step, you’ll learn how to provide your housing company with verification of your identity and how to apply for a personal activation code.

3. Initiate activation

Tapping on “Activate” will open an authentication form. Here you can request your activation code from your landlord by entering your personal details and – as soon as the code has arrived by post – complete the activation.

If you already have the letter from your landlord, go ahead and open it. The letter contains two options for activation. You can either type in the printed activation code from your housing company’s letter or simply scan the QR code with your smartphone.

4. Use QR code

In addition to the printed activation code, the activation letter from your housing company also contains a personal QR code which you can easily scan with your smartphone’s camera.

Simply select the “Scan QR Code” button in the activation form to do this.

5. Use the tenant app following activation

Great! Once your activation code has been entered successfully, activation in the tenant app is complete.

With the successful activation in the tenant app, you can now use all services offered by your landlord without restriction.

FAQs on onboarding

What are the requirements for registration in the tenant app?

Your housing company must use the tenant app powered by easysquare. If this is the case, you’ll need the tenant app from the Apple App Store (iOS) or Google Play Store (Android) on your smartphone as well as an activation code to activate blocked services (covered in the onboarding process starting at step 3). Registration in your browser via the web app is also possible. You’ll need the URL from your landlord for this.

Why do certain services need to be activated in the tenant app?

The tenant app offers a wide range of digital services and options for communication between you and your landlord. This allows you to read important information and news about your building on the digital bulletin board, to submit a defect report for your apartment online, or to apply for a pet permit from your landlord. All contract data, account balances and individual statements can also be viewed around the clock. Upon registration, the app does not yet contain this data. To securely assign this data to your app account, your housing company must activate your data. The data will be assigned to your app account when you enter the activation code.

How does the activation work?

To register and activate certain functions in the tenant app powered by easysquare, you need an activation code consisting of several characters. You can easily request one from your housing company via the app itself. You’ll receive the activation code by post within a few days. If you’ve received the letter with an activation code from your housing company, simply enter the code in the tenant app (see steps 3 and 4 in the onboarding process).

Why do I have to wait for a letter after I download the app?

The security of electronically stored data is becoming increasingly important, especially when it comes to your personal data. Your landlord must explicitly grant you access to blocked services for you to view your contract documents, for example, by sending you a personal activation code by post. You can then use this activation code to enable access to the blocked services (see steps 3 and 4 in the onboarding process). Delivery of the activation code by post is intended to ensure that only you, as a tenant, are granted access to your personal data (two-factor authentication). The first factor is the app login with a user name and password. The second factor is delivery of the activation code letter to your postal address.

The staff of my property management company encouraged me to download the tenant app. Why do I not need an activation code in this case?

Your housing company might manually activate you via the easysquare professional app (if used by the housing company) or automatically activate you by changing your status from a potential tenant to a tenant. Both methods are only possible if your landlord uses the necessary easysquare solutions.

I received an e-mail from my property manager stating that I’ve been activated for the tenant app and should register. Do I still need an activation code?
In this case, you don’t need an activation code sent to you by post. After registration, you’re already automatically authorised to use the tenant app.
How long does it take to receive an activation code?
This depends on your housing company. If you haven’t received an activation code from your landlord within one week, it’s best to contact your landlord directly.
What do I do if I haven’t received the activation code?
Your housing company will send you the activation code by post. If you haven’t received a letter from your housing company, please contact your landlord directly.
What happens if I enter my activation code incorrectly?

There is no limitation on the number of incorrect entries. But after four weeks have passed, you may need a new activation code depending on the housing company. In this case, it’s best to contact your landlord directly. To avoid typos when entering your activation code in the tenant app, you can also scan the QR code on the activation letter (see step 4 in the onboarding process). This is quick and easy with your smartphone.

How long is my activation code valid?

The activation code is valid for a maximum of four weeks. This period varies between housing companies. If your activation code doesn’t work, it’s best to contact your landlord directly.

Who can I contact if I have any questions or problems?

If you have any questions about the tenant app or problems not covered in these FAQs, please contact your landlord directly. If you have any technical problems with the easysquare app, you can also use our contact form.
